What’s the role

The DS Energy Accounting process extends across many steps in the lifecycle of hydrocarbon stock in Group from recording contracts for purchases and sales of stock in our systems, recording stock movements, stock reconciliations, invoicing for stock sales and payments for stock purchases, through to stock valuation. Energy Accounting forms part of the wider Energy Risk and Accounting (ERA) process which has been identified as one of the five key processes in which Group will focus to improve further its competitive position and close the value gap. The ERA processes undertaken at KL support a number of downstream businesses, principally Trading and Supply, but also Aviation, Bitumen, Lubes and Manufacturing and support businesses located predominantly in East.

To ensure timely and accurate payment of Hydrocarbon Management’s (HM) payables, and settlement of Hydrocarbon Management’s receivables. Perform and support daily operations of the Hydrocarbon teams in Stock Recording and Reconciliation, Contracts & Pricing, and Stock Valuation. Proactively provide issue resolution to support E2E process and value chain in Hydrocarbon area. Deliver assigned activities and drive for operational excellence within the team.

What you’ll be doing

  • Operate Hydrocarbon Management Accounts Payable and Receivable processes.

  • Ensure that all payments and receipts are made in accordance with relevant contracts.

  • Verify and process Hydrocarbon invoices.

  • Troubleshoot issues relating to HM payments and receivables.

  • Ensure strict compliance with payment / receipt deadlines.

  • Ensure that all contract requests are approved, reviewed and updated into the system according to agreed timeline

  • Identify and understand key components/movements in Inventories GL and key contract details updated in the system (e.g. fixed price/ formula price)

  • Execute and ensure timely completion of all the activities of the Stock Valuation & Margin Segmentation Team including the running of stock valuation programs at the month end, which include FIFO, NRV, CCS, COGS, GINI and GRANI

  • Validate that all movement transactions which have physically taken place have been accurately and completely recorded in the system before stocks are reconciled

  • Validate if discrepancies exist, that they are being investigated and resolved on a timely basis

  • Reconcile book vs physical stocks on regular basis, and on time for period end close

  • Investigate and resolve any discrepancies with figures from 3rd party operated depots, including stock differences outside of tolerance

  • Post any final stock differences within allowed tolerance to the appropriate gain/loss accounts in accordance to the Manual of Authorities (MoA), in compliance with GSAP and SOX 404 guidelines

  • Prepares overview of losses & gains for approval

  • Ensure compliance with all Global standards and streamline policies (i.e. OMP policies and IFRS standards)

  • Understand and implement the corresponding financial controls associated with the process to mitigate financial reporting risks

  • Execution RDS / FCM controls / Key Controls and Non-Key Controls as per controls role mapping requirements and in compliance to Shell Controls Framework

  • Ensure timely storage of evidence on task carried out in Global Records Management System

  • Prepare manual journal entries in accordance to FCM controls

  • Reconciliation of relevant accounts using Blackline

  • Provide information to direct stakeholders timely, accurately, and professionally

  • Ensure timely and accurate deliveries of team’s KPIs

  • Projects / Assignments Participate (which include delivery of the deliverables within the stipulated timeline, issues escalation and manage expectation gaps) in external and internal rollout / projects / assignments

  • Process Improvements and Convergence Continuous Improvement ideas and solutions to achieve efficiencies and effectiveness in performing tasks and assist in implementation

Reports directly to Team Manager

What you bring

  • Degree in Finance/Accounting, preferably with professional certification (i.e. ACCA/CIMA/CPA, etc.)

  • Strong financial background and understanding of internal controls

  • Minimum 2 years’ experience in any Accounting-related field. (Understanding of SAP is an added advantage)

  • Strong adherence to processes, policies, and procedures

  • Good problem-solving skills, analytical abilities, and inquisitive mindset

  • Excellent communication skills (both written and oral) as well as interpersonal and relationship building skills

  • Understanding of product measurement and accounting practices, inventory management, costing and impact on stock valuations is an added advantage

  • Capable of working under pressure and highly driven to meet deadlines

  • Ability to work independently and as part of a team

  • Ability to integrate business and process knowledge

  • Ability to gain an in-depth knowledge and understanding of GSAP contracts, pricing and material movements, its relation to settlement process, the source, document flow & associated fields

  • Willing to work across time zones if needed

  • Proficiency (read/write/speak) in Mandarin language
