Technical Administrative Assistant
Position Purpose
About the Opportunity:
Shell Canada is looking for a Technical Administrative Assistant, also referred to internally as a Maintenance, Turnaround & Construction (MTAC) Technical Analyst & Admin, to join their Shell Scotford Refinery team.
This team member is responsible for providing effective, efficient, and proactive administrative support to the MTAC Leadership Team, as well as performing entry validation in Electronic Payment Systems (TRACK analyst) duties such as data audits, overrides, and handling exceptions.
Accountabilities:
Assist with organizing and preparing for Leadership Team meetings as needed
Perform Track (contractor time and payment tool) Administrator duties such as data audits, overrides, exceptions, non-bill approvals, likely that this Track support may make up a dedicated portion of this role
Coordinate, participate in, and document in-person or virtual meetings or events throughout the department
Develop and send out approved communications on behalf MTAC Department Manager and/or MTAC Leadership Team
Prepare reports, documents, spreadsheets, PowerPoint presentations, and other materials; compile research; and provide supporting documentation
Collate, monitor/track actions, coordinate or route/delegate business tasks/actions to respective parties on behalf of MTAC Managers
Manage and support document distribution along with other administrative duties and responsibilities
Assisting with various projects, tactics, and / or initiatives as needed
Perform basic data entry and/or documentation updates as needed
Provide documentation and record management support if required
Execute ad-hoc administrative requests from MTAC Leadership Team
Receive and follow up on general MTAC inquiries
Welcome and accompany visitors as needed, ensuring compliance with HSSE policies
Manage email and calendar for the MTAC Leadership Team upon request
Skills & Requirements
Must have legal authorization to work in Canada on a full-time basis for anyone other than current employer
Diploma or certification in Business or Office administration is desirable
Minimum 3 years’ experience as an Administrative Assistant in a business environment required
Familiarity with Electronic Payment System (TRACK Systems)
Previous experience supporting management level positions would be an asset
Proficient in MS Office applications, including Word, Excel, PowerPoint, Outlook, SharePoint, and Teams, with a strong desire and capability to quickly master other IT
