
Associate Business Admin Support
What’s the role
The Administrative Assistant will provide administrative and organizational support to the Site Manager of the Shell Technology Center Houston (STCH) and the General Manager for Analytical Technology, ensuring the smooth operation of day-to-day activities. A successful applicant will also work with the other administrative staff at STCH in executing large community events.
Accountabilities:
Administrative Support
Manage calendars, including scheduling meetings, resolving conflicts, and ensuring efficient time management
Coordinate travel arrangements, including booking flights, accommodations, and ground transportation, while adhering to Shell’s travel policies
Prepare and process expense reports in a timely and accurate manner
Draft, proofread, and format correspondence, presentations, and reports as needed
Support on-site meetings and events, order floor supplies, assist staff onboarding/offboarding, manage retirement celebrations and gifts
Finance support for SERP time writing and special project reporting
Maintain distribution lists
Meeting Coordination
Organize and coordinate internal and external meetings, including preparing agendas, and following up on action items
Arrange logistics for on-site and virtual meetings, including room bookings, catering, and technical support
Communication and Liaison
Act as the first point of contact for the Site Manager of STCH and the General Manager of Analytical Technology, handling inquiries and correspondence with professionalism and confidentiality
Liaise with internal teams, external stakeholders, and vendors to ensure seamless communication and collaboration
Office Management
Maintain and organize files, records, and documentation in compliance with Shell’s data management policies
Support the Site Manager in tracking and managing budgets, invoices, and procurement requests
Assist with site-wide initiatives, events, and projects as required
Special Projects
Provide support for ad hoc projects and initiatives led by the Site Manager, including research, data analysis, staff training, and reporting
Contribute to the continuous improvement of administrative processes and tools
What you bring
Must have legal authorization to work in the US on a full-time basis for anyone other than current employer
Bachelor of Science Degree is preferred
At least 3 years’ experience in an administrative or executive assistant role, preferably in a corporate or technical environment
Proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint) and familiarity with virtual collaboration tools such as Microsoft Teams and/or Zoom
Must be willing to work at the location, with in-person support required particularly when hosting or assisting with events
Preferred Qualifications:
Experience working in the energy, technology, or research sectors
Familiarity with SAP and/or Concur is a plus
Proficiency in more advanced digital and AI tools
What we offer
The base salary range for this position is $54,000 - $82,000 per year. Individual pay will be based on various factors, such as relevant work experience, education, certifications, skill level, seniority, and internal equity.
For regular full-time or regular part-time employees of the Company (participating companies as listed in the Summary Plan Description), insurance coverage options include medical, dental, vision coverage, life Insurance, Business Travel Accident Insurance, and Occupational Accidental Death Benefit programs. Employees also participate in a company pension plan and a 401(k) plan. Paid leave includes up to 6 weeks of paid vacation time, up to 11 paid holidays, and parental leave offering 16 weeks of paid leave for birthing parents, and 8 weeks of paid leave for non-birthing parents.
Additionally, employees are eligible for short-term disability leave for up to 26 weeks at 100% or 50% of base pay as well as Long-Term Disability insurance. Shell also offers other compensation such financial reimbursement for adoption, wellness, education, and personal learning expenses, and some roles are eligible for discretionary long-term incentives. For interns, eligible benefits include medical, dental, and vision coverage, life insurance, Business Travel Accident Insurance, and Occupational Accidental Death Benefit programs; participation in a 401(k) plan; and paid leave for up to 11 paid holidays.
