Payroll Specialist Germany
The Role
Job Purpose:
Payroll Specialist is the crucial link between In-Country Payroll teams and HR Operations, accountable for:
Local Payroll Processing (incl. Performance Shares, GESPP, Shadow Payroll etc.) as well as execution of Payroll Controls connected with Payroll processing (Payments to Bank, Posting to Finance) or
Controlling Data Inputs through execution of FCM Controls (Payments to Bank, Posting to Finance, Variance, Threshold, Employees on Payroll) and all country specific Operational Controls for a given country
Executing country reporting processes required by statutory authorities (Social Insurance/Tax/other)
Partnering with HR Operations to ensure continuous improvement initiatives (addressing and reducing Payroll Remarks in a structured way)
Delivering upskilling training to HR Operations (Country Operations, International Mobility, Recruitment Services, Global Expatriate Transactions) and enhancing partnerships, as well as managing the Remark List.
Active participation in Local and Global Projects (such as Policy Changes, HR Transformation, Global Debt Recovery).
Case Management for simple and complex Payroll queries
Dimensions:
Part of the Payroll Team in SBO Krakow, reporting to Payroll Operations Manager, no direct reports.
Principal support for German payroll with population of approximately 3500
Population for other supported country or countries will be different and will include regular and expat employees in each country.
Close collaboration with In-Country Payroll team
Close collaboration with teams in HR Operations (HR Advice, Country Operations, International Mobility, Global Expat Transactions and Recruitment Services) from Krakow, Manilla and Kuala Lumpur
Principal Accountabilities:
Ensuring quality (correctness, timeliness and completeness) of pay & reporting process execution or conducting dedicated/mandatory FCM controls based on Actual Control description and random audits on the data amendment process, post-checking and payment of salaries, in accordance with internal audit guidelines.
Contributing towards the quality of data amendment process by promptly detecting any inconsistencies and advising the colleagues in HR Operations
Reporting on this and, if any errors are detected, recommending improvements to the payroll teams in the countries and to HR Operations
Delivering upskilling training to all HR Operation teams to ensure knowledge of
country Payroll and related Policies is up to date to have this reflected in their job aids and drive better Payroll Data Accuracy.
Assisting external and internal auditors in their audit of payroll
Collaborate with the Payroll Manager on observed trends and draw conclusions on the future learning
Conducting an audit of salary payments.
Performing country statutory reporting activities as required by local statutory authorities (Tax, Social Insurance, other country specifically required reporting or submissions needed)
Monitoring correct operation of payroll software by dedicated and random audit and approval of monthly salary calculations for the all the different contracts before payroll close.
Requirements:
University Degree –preferably in HR or Business Administration or MBA
Minimum 5 years work experience - previous experience in HR / Payroll for Germany is an advantage
Experience in introducing and maintaining service excellence
Previous experience in Shared Service, Call Centre, and Service environment is an advantage
Broad experience in payroll administration
Affinity with HR and related terms and conditions
Knowledge of SAP HR/Payroll system
Good interpersonal and (data) analytical skills
Fluent in English (written and verbal)
