What’s the role

Shell is seeking a Site Time Focal to join their team at the Sarnia Refinery. This role is responsible for all payroll and scheduling entries, including reporting, problem-solving, and troubleshooting. Additionally, you will serve as administrative support for the Asset Teams.

Accountabilities:

Payroll

  • Maintain a skill level in the Schedule Pro, Workday, Sharepoint and SAP Program and a constant knowledge of the Hourly Payroll Practices and Collective Bargaining Agreement

  • Act as a subject matter expert for SchedulePro tool used for shift scheduling and timesheets by Production Team Members

  • Ensure timely and accurate input of exception time into Schedule Pro (overtime, absences, shift changes, work up)

  • Act as a resource for payroll inquiries/issues in consultation with the Shell Hourly Time Focal and HR Service Desk if required

  • Audit time entries prior to payroll deadline each pay period per HR auditing standards

  • Validate and assist in yearend quota balance reconciliations for payouts and carryovers

  • Ensure appropriate quota entitlements are showing in SAP for each hourly employee in Quarter 1 of each year

  • Interface with Human Resources and the payroll team on overtime policy issues and the data entry and reporting processes

  • Compile various reports including but not limited to the Production monthly overtime report, quarterly absence reports, yearend sickness reports

  • Provide back up support for other Production Time Focal for time entry & timesheets/inquiries

  • Onboard new Production hourly & staff about pay practices and timesheet process by giving presentations or sending out emails

  • Coach Hourly workers and Production Team Leads when necessary to make the process effective and to ensure consistency

  • Assist the Production Supervisor with Scheduling changes on a monthly basis

Administrative:

  • Administration duties including stationery order, meeting scheduling, office management

  • Ensure timely and accurate resolution of expense statements

  • Act as SharePoint Functional Site Owner for the Asset team

  • Serve as SharePoint Records Management Focal for the Asset team

  • Support Production with ad-hoc projects to deliver for the business

  • Perform other duties as required

What you bring

  • Must have legal authorization to work in Canada on a full-time basis for anyone other than current employer

  • Bachelor’s Degree is preferred

  • Office Administration certificate preferred

  • Minimum of 3 year of experience technical experience working with SharePoint Online, Office 365, SAP and Schedule Pro is preferred

  • Proficient in managing pay entries using Schedule Pro, Workday, and SAP, as well as defining and developing SharePoint libraries and information architecture based on specific requirements

  • Experience with SharePoint migrations to provide guidance, expertise on the migration of various workloads/content to SharePoint Online and resolve outstanding issues post migrations

  • Solid understanding of One Drive, SharePoint Workflows, Microsoft Teams, and Adobe Acrobat Pro

  • Ability to implement changes to Sharepoint pages/environment
