What’s the role

As a Terminal Operations Coordinator, you will be accountable in providing administrative support to ensure efficient running of distribution operations. You will also support managers and employees through administrative matter and initiatives from the organization.

What you'll be doing

Principal Accountabilities:

  • Supports Facilities Manager in Operation activities, continuous improvement, Projects, and Audit
  • Produce timely / track and accurate monthly accrual and expenses reports
  • Raise purchase requisition / purchase order and follow up on the delivery
  • Create service entry or goods receipt with planned services in a purchase order
  • Raise financial invoice for license renewals
  • Involve in year-end purchasing contract renewal
  • Maintains digital safety data sheet filing system
  • Maintains equipment and send for calibration / inspection when due
  • Maintains sufficient stocks of stationery and account for the purchase, usage and expenditure of these stationery
  • Assist in the regularly scheduled invoice submission / permit listing report submission; Update monthly data on mileage driven; Printing of Work order; Carry out administrative duties such as filing, typing, copying, binding, scanning, etc.; Make booking for restaurant or order food deliveries for catering purposes
  • Ability to effectively communicate via phone and email, ensuring that all admin duties are completed accurately and delivered with high quality and in a timely manner. Produce timely and accurate monthly accrual reports
  • Support order placement and e-invoice submission
  • To maintain the thorough transmission, proper filing, and consistent updates of all documents in adherence to established procedures and retention periods as outlined by the Group Record Management Guidelines, ensuring easy retrieval when necessary.
  • To oversee and monitor the documentation, input, and authorization of transactions into SAP, ensuring compliance with SAP procedures, Financial/Credit policies, documentation procedures, and adhering to Sales requirements.
  • To be part of the terminal operations emergency response team when required
  • Support TOS Maintenance on other or ad-hoc routine operation/ non-operation, operation duties assign.
  • Able to perform coverages for Terminal Operation areas.
  • Able to perform coverages for TOS Maintenance and other Terminal Operations Coordinator SG

Other support:

  • Support Line Manager on other or ad-hoc routine operation duties assign
  • Support and drive initiatives, benchmarking, and other studies
  • Participates in Terminal Ops related meeting (i.e. incidents control learning, TO incident review)
  • Support different class of business and resolve any issues at the interface of Distribution and Customer queries
  • Manage Terminal events and oversee logistics and program (Safety Day, Townhall etc)
  • Support sustainability and energy transition program in the terminal
  • Support staff onboarding programmes, training/development, technical progression scheme, shift schedule and improve training materials, competency evaluation for Terminal Operations Supervisors

  • Good analytical/financial/stock management knowledge
  • Capable of and inclined to identifying opportunities to improve, generate value, enhance safety
  • Strong communication and engagement skills and able to build convincing business cases
  • Able to grasp/leverage/construct information systems, processes and technologies
  • Able to persuade, influence and deliver through others; to synergize and rally team efforts
  • Strong project management skills well versed in tracking plans and able to deliver to a rigorous schedule
  • Proficient in SAP and other IT knowledge
  • Knowledge on Terminal operation activities
